Rostering Sorted. No More Ringing Around.

Every kind of shift on one roster, open shifts your team applies for from their phone, and checks that speak up before a dodgy shift saves. Clock off, and the timesheet and invoice lines are done.

The Short Version

One roster for the lot.

Individual, group, house, admin and training shifts, by staff or by participant, with approved leave on it too.

Shifts filled without ringing around.

Post it to the Job Board, your team applies from their phone, you assign it in one click.

Clock off, paperwork done.

Every finished shift makes its own timesheet and NDIS invoice lines, travel and public holidays included.

What's Actually in It

1. One Roster for Every Kind of Shift

Individual, group, house, admin and training shifts on the one roster, by staff or by participant, a day, a week or a fortnight at a time. Approved leave sits on it too, so you can see who's off before you book them.

  • Repeat a shift weekly, fortnightly or monthly for up to 18 months, then change one shift or every one after it
  • Group shifts two ways: one worker with several participants, or several workers with one participant and a team lead
  • Filter by staff, participant, shift type or status, with the hours for the period on every row
  • Care instructions, checklists, pickup and drop-off, and the vehicle, all set on the shift

2. Checks That Speak Up Before It Saves

The roster won't wave the obvious stuff-ups through. Book a worker or a participant who's already on a shift at that time, on any date of a repeating series, and you see the clash before anything saves.

  • Same worker or same participant, overlapping times, overnight shifts included: the shift waits until you tick to go ahead
  • About to push someone past 38 hours in a week? The review before you create the shift flags it
  • Staff can't be rostered until their payroll group or award classification and their contract type are set, so their timesheets can actually be paid
  • Switch on client groups and only approved staff can be rostered to that participant or house

3. Open Shifts, Filled Without the Phone Tag

Post an open shift to the Job Board and it lands on your team's phones. They apply from the app, you see who's keen, and one click puts it on their roster.

  • Open individual and house shifts for the next 90 days, with how many people have applied
  • Staff browse new jobs, then apply, withdraw or re-apply from the Orangised app
  • A daily heads-up for admins on new applicants, and on shifts still unfilled two days out
  • Assign an applicant and the shift's theirs, no back and forth

4. On the Day, Then Done

Your team runs the shift from their phone, and clocking off does the paperwork: the timesheet on their award or payroll-group rates, and the NDIS invoice lines from the participant's support item.

  • Reminders that land

A push before a shift starts, before it ends, and for tomorrow's shifts.

  • Clock in, clock out

From the shift itself, with care instructions, checklists and directions on hand.

  • Notes before they leave

Care notes with voice-to-text, photos and a signature, plus 11 incident and health logs.

  • Nights covered

Hourly overnight check prompts, and an active-work timer on sleepovers.

  • Invoice lines priced for weekdays, Saturdays, Sundays, evenings and public holidays, and taken off the participant's budget
  • Travel kilometres billed as travel and paid as an allowance
  • Sleepovers billed at their flat rate, plus any active work

The Full Rostering List

Everything in rostering and scheduling. What it doesn't do is in the answers below.

One Roster

Every kind of shift, on one calendar.

  • Individual, group, house (SIL), admin and staff training shifts on one roster
  • Staff view and participant view, by day, week or fortnight
  • Filters for staff, participant, shift type and status, with hours for the period on every row
  • Approved leave shown on the roster
  • Schedule tabs on every staff, participant and house profile, by month, week or day
  • Group shifts: one worker with several participants, or several workers with one participant and a team lead

Building Shifts

Set it once, change it once.

  • Repeat weekly, fortnightly or monthly, up to 18 months ahead
  • Edit or delete one shift, or that shift and every one after it
  • Care and special instructions, pickup and drop-off locations, and the vehicle, set per shift
  • Checklists on a shift, with changes carried to the shifts after it
  • Billable and payable switches on every shift, and an unpaid break on shifts of eight hours or more
  • Appointments (GP, therapy, stakeholder meetings and more) linked to a shift, or with a new shift made to get the participant there

Clash Checks

Speaks up before it saves.

  • Clashes for the same worker or the same participant, on any date of a repeating series, shown before a new shift saves
  • Anyone going past 38 hours in a week flagged before you create the shift
  • Staff can't be rostered until their payroll group or award classification and their contract type are set
  • Optional client groups: only approved staff can be rostered to a participant or house

Job Board

Open shifts, filled from the phone.

  • Create a shift with nobody on it yet and it goes on the Job Board
  • Staff see new jobs on their phone, then apply, withdraw or re-apply
  • Applicant counts on every open shift for the next 90 days
  • Assign an applicant in one click and the shift's theirs
  • Daily heads-ups for admins on new applicants and shifts still open two days out

On the Day

What your team does on shift.

  • Today's, this week's, upcoming and past shifts in the Orangised app
  • Clock in and out from the shift; admins see the times and can correct them
  • Participant details, care instructions, checklists and map directions on every shift
  • Care notes at clock-out with voice-to-text, photos and a signature
  • 11 incident and health logs recorded against the shift
  • Reminders before a shift starts and ends, and for tomorrow's shifts
  • The shifts under way, listed on the admin dashboard

Nights and Sleepovers

Covered while everyone sleeps.

  • Hourly overnight check prompts between 11pm and 6am, logged against the shift
  • An active-work timer on sleepover shifts, stopped before clock-out
  • Sleepovers billed at their flat rate, plus any active work

Leave and Cancellations

Life happens. The roster keeps up.

  • Leave requested from the app, approved or rejected with a reason on the web
  • Staff hear the outcome, and admins hear about new requests
  • A list of the shifts someone has during their leave, ready to hand to someone else
  • Cancellations record why and who cancelled, with a choice to still invoice and still pay
  • A cancelled shifts report, exportable to CSV

Into Pay and Billing

Clock off, paperwork done.

  • A timesheet from every completed shift, on award or payroll-group rates with allowances
  • NDIS invoice lines from each participant's support item, priced for weekdays, Saturdays, Sundays, evenings and public holidays
  • Each invoice line taken off the participant's budget
  • Travel kilometres billed as travel and paid as an allowance
  • Timesheets and invoices synced to Xero

The Honest Answers

What it does, what it doesn't, and no fine print.

It makes you look first. Book a worker or a participant who already has an overlapping shift, checked on every date of a repeating series, and the new shift won't be created until you've seen the clash and ticked to go ahead. Changing an existing shift or assigning one from the Job Board isn't checked yet, so keep the staff view handy: every worker's shifts sit on their own row.
